\ \ Financial Aid Specialist\ \ Department: 3670003540 Student Financial Assistance\ Job no: 516697\ Employment type: Staff Full Time (Unclassified - Regular)\ Location: Manhattan, Kansas\ Worksite: Hybrid eligible (partially remote, must reside in US)\ Categories: Business / Accounting / Finance, Student Affairs / Services\ Pay Grade: 07A\ \ \ About This Role:\ This position manages the Federal Work-Study and the Kansas Career Work-Study programs. Tasks to be performed include:

  • Responds to inquiries from students and employers, verifies student eligibility, makes awards within the student system, and collects/reviews Federal Work-Study position descriptions for accuracy.
  • Monitors the fund to ensure our annual allocation stays within budget. Maintains accurate accounting records and assists with monthly reconciliation.
  • Responsible for all fiscal actions, such as depositing funds, processing reimbursement Agency Payment Vouchers (APVs), reconciling the account, and completing the annual report.
  • Generates annual contracts with off-campus employers.
  • Runs system processes, reports, and queries to effectively manage programs.

\ \ This position oversees the university\'s tuition assistance programs. Tasks completed include:

  • Reviews applications and verifies eligibility for the tuition assistance programs. Communicates with the student or employee if application is incomplete or if eligibility issues are found.
  • Determines award amount and makes appropriate system updates. Adjustments to existing financial aid may be necessary. Adds award adjustment reasons where appropriate on the student\'s record.
  • Serves as one of the office experts on the programs, fields questions on the eligibility criteria and program rules, counsel employees and dependents on the programs, collaborates with Human Resources regarding the benefit program.

\ \ The individual in this position will assist the lead staff member responsible for executing the procedures of the Return to Title IV (R2T4) process when a student withdraws from the university. This position also monitors downward enrollment changes that happen after disbursement and prior to the start of the term. Tasks included are:

  • Identifies students that are considered withdrawn by monitoring various reports.
  • Gathers, analyzes, and interprets student-specific data necessary to perform the R2T4 calculation. This requires researching the student information system and/or the university\'s imaging system. May also require contacting instructors and enrollment offices to determine if eligibility has been established for the federal aid programs.
  • Adjusts federal aid prior to R2T4 calculation based upon responses received which demonstrate the student did not establish eligibility in specific course(s).
  • Performs the R2T4 calculation for all federal student aid recipients who have officially or unofficially withdrawn from the university. Ensures the calculation is performed within the required timelines to be compliant with federal student aid regulations.
  • Communicates with the student about the results of required R2T4 calculation. Informs the student of necessary changes in federal student aid and if the student owes the university and/or has an overpayment. Creates a repayment plan in the advent of an overpayment.
  • Counsels students who have withdrawn or are contemplating withdrawing from the university.
  • Research and interpret regulations by referencing all available resources to ensure compliance with the nuances of R2T4 including the governing timelines associated with it.

\ \ This position serves a a team member responsible for packaging/awarding of federal aid. Tasks to be performed include:

  • Reviews various reports on a weekly basis, research student eligibility by accessing National Student Loan Data System, and manually awards students.
  • Runs communication processes to produce paper and electronic financial offer notifications.
  • Responds to questions about federal aid eligibility from other office staff as well as the general student population.
  • Assists with awarding summer financial aid. Reviews reports in the successful management of summer financial aid awarding and disbursement.
