Hilton Sales Administrative Assistant - Hilton Austin in Austin, Texas
Due to a recent promotion, the Hilton Austin located at the center of Downtown is looking for a Sales Administrative Assistant to join their awesome team!
What will I be doing?
As a Sales Administrative Assistant, you would provide clerical/administrative support to Directors and Managers of Sales in coordinating and disbursing information related to sales and service. Specifically, you would be responsible for performing the following tasks to the highest standards:
Specifically, your essential functions will be to perform the following tasks to the highest standards:
- To organize, plan and prioritize your duties by developing plans and goals.
- Timely communication to internal and external clients via telephone, email, written documents or in person.
- Handling phone calls, e-mails and greeting clients for Sales in a professional, courteous manner.
- Managing VIP guest arrangements
- Reviewing and assigning sales and catering leads in FDC, CVENT, Marketing Broker and additional lead sources
- Build new bookings in the sales FDC system
- Help with filing and merging files including sales contracts
- Creating and communication of documents including but not limited to contracts
- Pull arrivals for next day and pull guest email address from OnQ
- Handle reservations request, billing, tax exempt
- Review arrivals for Company of the Quarter and send Kipsu
- Audit incoming BT arrivals for Business Travel VIP’s, upgrades, LOS
- Assist with clients and deliver on the client’s expectations.
- Demonstrate knowledge of job systems, products, booking systems, and processes.
- Ensure high quality service by communicating and assisting others to understand the guest needs.
- Participate in customer site inspections and assist with the sales process as necessary.
- Other duties as necessary based on business needs
