Position Title: Advisement Office Manager
Reports To: Coordinator of Academic Advisement Services
Type of Contract: Full-Time, non-exempt, employment-at-will, KPERS covered,
Grade 3, support staff (full benefits)
Length of Contract: 12 Months
Date of Position Description: May 2021
GENERAL NARRATIVE DESCRIPTION OF THE POSITION:
The Advisement Office Manager will be responsible for performing
secretarial/clerical/office tasks as assigned by the Coordinator of Academic Advisement
Services or his/her delegate. The person shall hold at minimum a high school diploma
or its equivalent (Associate Degree preferred); possess at least two years of
clerical/secretarial experience; possess a valid drivers license; exhibit good written,
verbal, and telephone communication skills; possess basic quantitative skills ; possess
a basic working knowledge of selected computer applications including the Microsoft
Office suite; and demonstrate the ability to operate basic office machines such as a
copier, calculator, FAX machine, shredder, and a multi-line phone system. Must be
capable of multi-tasking, handling stressful situations, deadlines, and tasks demanding
attention to detail with minimal supervision.
GENERAL ESSENTIAL JOB FUNCTIONS:
Essential functions of this position include the demonstrated ability and willingness to:
1. Communicate clearly in standard English in both written and verbal forms and on
the telephone;
2. operate a computer and a printer utilizing word processing and student database
applications;
3. operate various types of office equipment and troubleshoot problems with
equipment;
4. exhibit basic quantitative skills involving all four arithmetic operations;
5. exhibit excellent interpersonal, cooperative skills;
6. work evenings and weekends if and when required; and
7. meet the physical requirements of the position as described on the attached
sheet.
SPECIFIC ESSENTIAL JOB FUNCTIONS:
The Advisement Office Manager shall perform the following specific job functions under
the supervision of the Coordinator of Academic Advisement Services:

1. perform keyboard operations including the preparation of letters, memos, and
reports, the input and retrieval of data, and the preparation of brochures,
announcements, posters, and other publications as directed;
2. perform data entry operations;
3. schedule appointments for students, various personnel and institutions as
assigned;
4. provide basic telephone, informational, and public relations services as
requested;
5. serve as receptionist to the Advisement Center operation;
6. provide information to students, staff and community as requested;
7. assist with student enrollment, placement testing, orientation sessions for
students, and petitions for graduation as assigned and/or directed;
8. assist with the tracking of students;
9. assist with the preparation and distribution of various publications and printed
material as assigned;
10. work closely with Admissions to prepare for enrollment days;
11. maintain constant organization of office and keep track of supplies;
12. annual maintenance of file system;
13. enforce and maintain confidentiality (FERPA) as required by law;
14. supervise work study student;
15. work with diverse populations;
16. attend workshops, seminars, and other training sessions which may require
overnight travel;
17. regular attendance and/or physical presence at the job is required;
18. interact cordially with coworkers to accomplish common tasks; and
19. other duties as assigned.
