Position Summary: We are seeking a highly experienced and detail-oriented individual to join our dynamic team as the Sr. Facilities CMMS & Planning Specialist. The Sr. Facilities CMMS (Computerized Maintenance Management System) & Planning Specialist is responsible for managing the maintenance management system to ensure optimal operation of facilities, equipment, and resources. This role includes coordinating preventative and corrective maintenance, asset management, work order tracking, and facilities/engineering planning. The specialist collaborates with facilities management, maintenance teams, engineering, and vendors to ensure operational efficiency and compliance with organizational standards.

Essential Duties:

  • CMMS Administration

  • Manage the application, maintenance, and updates of the CMMS.

  • Regulate data accuracy and integrity within the system, including asset and inventory information.

  • Generate reports on work order, maintenance activities, and Overall Equipment Effectiveness performance for management.

  • Maintenance Coordination

  • Develop and schedule preventive maintenance activities to minimize downtime and ensure compliance with safety standards.

  • Arrange all activities associated with planned outages under the direction of the Facilities Managers to provide maximum use of available resources.

  • Assign and prioritize work orders to maintenance staff or external contractors.

  • Monitor the progress of maintenance tasks to ensure timely completion and seek to understand non-compliance.

  • Facilities Planning

  • Collaborate with leadership to develop short- and long-term facilities improvement plans.

  • Conduct space utilization assessments and provide recommendations for efficiency.

  • Plan and coordinating facility renovations, moves, or expansions.

  • Vendor and Asset Management

  • Maintain relationships with current vendors and suppliers and continue to attain new vendors for equipment, parts, and services.

  • Manage facility assets, ensuring lifecycle data is updated in CMMS.

  • Coordinate warranty and service agreements with external providers and update the data with any changes therein.

  • Compliance and Documentation

  • Ensure maintenance activities comply with local, state, and federal regulations.

  • Maintain detailed documentation of maintenance schedules, inspections, and repairs.

  • Lead audits and provide required documentation to regulatory bodies.

  • Manage and schedule maintenance activities such as inspections, instrument calibrations, and equipment preventative maintenance and validation assessments along with coordinating project load.

  • Lead all projects with operations, maintenance, and engineering to ensure production needs are met.

  • Communicates directly with Purchasing and Inventory Agent regarding parts required and inventory levels needed to complete all scheduled Work Orders and PM Orders.

  • Notify managers of any problems or issues with inventory, planning and scheduling.

  • Support all company safety, health, environmental, and quality programs and policies, and be accountable for the performance of these programs in the Facilities Department. Report any safety issue or problem to supervisor and EHS immediately.

  • Support and promote a positive and cooperative team environment which fosters creative problem solving and shared learning.

Personal Protective Equipment (PPE) Requirements:

To ensure the health and safety in the workplace and for the protection of our employees’, wearing PPE is a possibility and includes equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, and a full hazmat suit that includes a respirator.

Qualifications

Requirements - Required and/or Preferred

Education:

  • Basic/Required: Bachelor’s degree in Facilities Management, Business Management, Business Administration, Engineering, or a related field preferred.

Essential Qualifications:

  • 7+ years in maintenance planning and CMMS administration, preferably in an industrial setting.

  • Working knowledge of basic computer skills, internet and Microsoft office including Word and Excel.

  • Statistical Analysis

  • Pivot Tables

  • Macros

  • Power Query

  • Hands-on experience with software (e.g., MaintainX, Maximo, Fiix, or SAP PM).

  • Need general parts, electrical, and mechanical equipment understanding.

  • Experience with Total Productive Maintenance (TPM) and Reliability-Centered Maintenance (RCM) programs.

  • Must have working-level knowledge of the English language, including reading, writing, and speaking English.

  • Requires valid State-issued driver’s license.

Preferred Qualifications:

  • Strong organizational and project skills.

  • Proficiency in data analysis and reporting.

  • Excellent communication and interpersonal abilities.

  • Familiarity with safety and compliance standards.

  • Attention to detail.

  • Ability to multitask and prioritize.

  • Proactive problem-solving skills.

Preferred Certification(s):

  • Facilities Management Professional (FMP) or (IFMA)

  • Building Operator Certification (BOC)

  • Certified Facility Manager (CFM)

  • Certified Maintenance and Reliability Professional (CMRP)
