POSITION SUMMARY:

This position supports the Systems Manager by assisting with data tabulation. Responsibilities include performing quality assurance checks, entering data, and verifying information according to established SEK-CAP Head Start procedures, using data entry devices and systems. Additionally, the role involves filing hard copy documents in the appropriate locations and completing various reception, clerical, and administrative tasks. The candidate is expected to gain knowledge of and be able to research the Head Start Act, Head Start Program Performance Standards, Kansas Department of Health and Environment Licensing Regulations, State Fire Marshal Regulations, and other relevant regulations.

The role involves organizing and preparing documents for the monthly Policy Council meetings while ensuring compliance with the Kansas Department of Health and Environment (KDHE) licensing, Kansas Fire Marshal (KFM) regulations, and Head Start Program Performance Standards (HSPPS). Key responsibilities include grant reporting, gathering required annual inspections of fire safety systems, ensuring quality assurance for non-federal match grants, and directly supporting the Systems Manager by completing or coordinating assigned duties.

To meet program requirements and support the Early Education Services program, this position includes developing correspondence, scheduling appointments, making phone calls, collecting data, generating reports, and performing other tasks as assigned by the Systems Manager. The Systems Manager directly supervises this position, overseeing program operations, quality assurance, and ongoing monitoring to ensure compliance with HSPPS, KDHE preschool licensing regulations, the Child and Adult Care Food Program (CACFP), and other grant reporting requirements.

The role also includes coordinating with Human Resources and Professional Development to ensure that all required staff and facilities documents are completed accurately, current, and filed in an electronic folder according to KDHE licensing regulations. Responsibilities include collecting and entering data, and conducting ongoing monitoring of CLARIS, the KDHE licensing database, and the Early Childhood Education Services database. Additionally, ongoing monitoring of the non-federal share match for grant reporting is required.

Developing positive working relationships with public education agencies, KDHE, the Department for Children and Families (DCF), and community service partners is essential. Compliance with Head Start Program Performance Standards, the Child and Adult Care Food Program (CACFP), Kansas Health and Safety Codes (Licensing/Fire Marshal), SEK-CAP, Inc. policies, Early Childhood Education Services policies, and all other applicable state, local, and federal guidelines is mandatory.
