Position Summary The Part-Time Administrative Assistant for Academic Affairs supports the Academic Affairs Team in the day-to-day operations and functions of the division. The assistant lends clerical support to the Vice President of Academic Affairs, Registrar's Office, Advising, Faculty, Adjunct Faculty, and Student Support Services. The position reports to the Vice President of Academic Affairs. Qualifications The incumbent must have experience and/or education related to the scope of work and essential functions of the job. A high school diploma or GED is required; an Associates' Degree is preferred. He or she must have computer experience using various programs employed by the college. The successful candidate must be very detail oriented, highly organized with strong communication skills and have the ability to work on several projects simultaneously. Position Information This is a part-time (15 hours per week), non-exempt, 12-month position. Hourly wage will be between $10.00-$12.00 an hour commensurate with knowledge and experience. The person hired will be able to start immediately. Provide clerical support for the successful day-to-day operations of the office (VPAA, Registrar's office, Advisors, Faculty, Adjunct Faculty, and Division Chairs). 2. Prepare documents using Microsoft Office programs (Word, Excel, PowerPoint, Mail Merge, etc.) 3. Perform bookkeeping and budget management in support of the Academic Budget process. 4. Compile and complete reports, as directed. 5. Track and enter purchase orders, travel requests, and absence reports for faculty and staff. Keep faculty absence emails to document missed class time. 6. Organize storage closet and file purchase orders, student paperwork, and reports. 7. Maintain personnel files with HR on faculty and adju ncts. 8. Maintain syllabi by division in cooperation with the VPAA. 9. Maintain and schedule appointments as needed for those reporting to Academic Affairs Office. 10. Post notices, assignments, and sign in sheets outside classroom doors as needed. 11. Use office equipment such as telephone, computer, and copier/scanner as needed. 12. Provide assistance and interpretation of the ICC college catalog to inquiring students and ICC departments. 13. Provide supporting information and materials for employees who are preparing to teach courses. 14. Organize and maintain payroll contracts and overload sheets for both adjuncts and full-time faculty. 15. Care for Xerox machine and order office supplies as needed for the departments connected to Academic Affairs. 16. Take mail to and from mailroom daily, use postage machine when needed. 17. Gain knowledge of all forms both student and faculty/staff to assist as needed. 18. Process transcript requests. 19. Scan daily incoming records and assist with scanning archived records. 20. Execute any requested and/or necessary course cancellations, room changes, etc pertaining to the current semester's schedule. 21. Run reports to review data; clean data as necessary. 22.
