MUNICIPAL COURT CLERK

DEPARTMENT: Municipal Court GRADE: H12

LOCATION: City Hall DATE: March 11, 2025

GENERAL PURPOSE

Performs a variety of routine clerical, administrative, and technical work in maintaining the court docket,

keeping official records, and assisting in the administration of the standard operating policies and

procedures of the municipal court.

SUPERVISION RECEIVED:

Works under the general supervision of the City Clerk and Municipal Court Judge.

Supervises Municipal Court Clerk Assistant

ESSENTIAL DUTIES AND RESPONSIBILITIES

? Maintains Notice to Appear records in arrest book and computer file.

? Receives bonds and other payments to the Municipal Court and prepares receipts.

? Prepares subpoenas as needed for prosecution and defendants.

? Tracks over due fines and sends notices.

? Prepares complaints, warrants, and other official documents as required by the court or prosecution.

? Prepares bond list, reports, and court docket for judge and prosecutor on a weekly basis.

? Receives requests for police department record checks, reviews records, and prepares responses.

? Maintains records of fees collected and provides information to the City Clerk for disbursement of

necessary fees and reports to state agencies.

? Operates listed office machines as required.

? Composes, types, and edits correspondence, reports, memoranda, and other material requiring judgment

as to content, accuracy, and completeness.

? Handles customer complaints.

? Receives and distributes incoming mail and administers outgoing mail.

? Orders and responsible for maintenance of office supplies.

? Cleans and organizes the court office and courtroom. Assists in cleaning and organizing the utility

office.

? Assists with planning, organizing, setting-up, and clean-up for meetings, receptions, and employee

functions.

? Other duties as assigned.

PERIPHERAL DUTIES

? Trained and works as cashier in the Clerks Office.

? Receives, processes, administers changes, issues receipts, and maintains records in accordance with bill

payments.

? Balances cash registers and credit card transactions.

? Collect all City rental fees and maintain proper documentation for rentals.

? Issues, monitors, and maintains all municipal licenses.

? Collects all fees and permits issued by the City.

? Reconciles recreation department receipts including swimming pool and concessions.

? May serve as a member of various employee committees.

DESIRED MINIMUM QUALIFICATIONS

Education and Experience:

? Graduation from a high school or GED equivalent with specialized course work and experience in

general office practices such as typing, filing, accounting or bookkeeping.

? Two years of increasingly responsible related experience, or any equivalent combination of related

education and experience.

Necessary Knowledge, Skills and Abilities:

? Working knowledge of computers, other office machines, and listed equipment; working knowledge of

office practices and procedures; knowledge of accounting principles and practices.

? Working knowledge of website and Facebook administration.

? Ability to perform cashier duties accurately; ability to effectively meet and deal with the public; ability

to communicate effectively verbally and in writing; ability to handle stressful situations; ability to

multitask and prioritize a heavy workload.

? Maintain confidentiality of information and/or concerns shared by others.

? Present self in appropriate professional attire and demeanor.

SPECIAL REQUIREMENTS

? An employee in this position will be subject to the City of Iolas Drug and Alcohol Policy.

? Must have telephone service for emergency contact.

TOOLS AND EQUIPMENT USED

Personal/desktop computer, Microsoft and Google applications, municipal court software/applications,

central billing system terminal, central financial computer, 10 key calculator, telephone, postage machine,

base radio, fax and copy machine, website domain, and Facebook page.
