Job Description Summary:

The Administrative Assistant will support an administrator, including scheduling and sending correspondence on behalf of the administrator and/or department. The Administrative Assistant will perform various tasks, including scheduling and sending correspondence on behalf of the programs and preparing reports for use in planning, policymaking, and program evaluation.

Job Description:

Key Roles and Responsibilities:

  • Perform administrative and clerical tasks for department faculty and/or program staff, including but not limited to sorting mail, greeting visitors, answering, and routing routine calls and maintaining inventory.
  • Serve as liaison between the department and other entities for information/document sharing.
  • Assist with the creation of spreadsheets and reports as needed; assist in the creation of presentations or other documents for distribution.
  • Assist with ordering office supplies and processing invoices.
  • Assist with the calendars of the leadership team and scheduling of meetings and events. Prepare agendas, take minutes, and distribute documents to meeting participants.
  • Arrange travel, provide support for department members while traveling and process travel reimbursements.
  • Collaborate with administrative support staff across partner institutions.
  • Provide project management support for both ad hoc and on-going projects.

Required Qualifications:

Education:

  • High School diploma or GED. Education may be substituted for experience on a year for year basis. Experience used to substitute education is in addition to any required work experience.

Work Experience:

  • Minimum one (1) year previous experience with scheduling and Outlook calendaring.
  • Minimum one (1) year pervious customer service experience.
  • Proficiency in Microsoft Office programs.

Preferred Qualifications:

Education:

  • Associate or bachelor\'s degree in business administration, accounting, or related field.

Work Experience:

  • Previous experience in an academic medical center environment preferred.
  • Previous experience supporting a senior leader or department and being the point of contact for their calendar.

Skills:

  • Excellent oral and written communications skills; ability to interact in a positive manner with leadership, faculty, staff, trainees and external agencies, partners, and representatives.
  • Strong organizational, analytical, decision-making, and problem-solving skills.
  • Ability to prioritize and meet deadlines in a fast-paced environment.
  • Commitment to working in a professional, collaborative team environment.
