Job Description Summary:

The Department of Neurology is seeking a highly self-motivated individual to serve as Administrative Assistant to Physician. This individual will be responsible for a wide range of duties including Physician calendar and coordinating his schedule with the administrative/executive assistants in his other work areas, travel, PowerPoint lecture preparation, manuscript preparation, managing and responding to all correspondence.

Employees will demonstrate a commitment to a culture of shared values, attitudes, and beliefs that support the NM section and KUMC mission.

Assist faculty with the submission of grant applications and annual reports in coordination with the Research Institute. This includes formatting, proofreading, budget projections and completion of all internal paperwork.

Provide clerical support for the program including assistance with monthly financial report and reconciliations.

Enter and process travel requests and reimbursements for faculty and staff.

Coordinate and schedule meeting sessions and venues.

Coordinate operational tasks necessary to ensure the smooth and efficient running of the department such as checking office equipment for proper function, maintain supply levels and processing work orders for repairs and maintenance as needed.

Coordinate operational tasks necessary to ensure the smooth and efficient running of meetings such as scheduling of microphone and audiovisual equipment's, maintain supply levels such as handouts, and refreshments.

Coordinate administrative support for various programs; type correspondence and other documents from written or oral communication using Microsoft Word and Excel. Coordinate purchase requisitions and travel forms using Marketplace.

Other duties as assigned by supervisor.

Job Description:

Required Qualifications:

+ Bachelor's degree in business administration, education or related field, with at least one year of relevant work experience. Experience may substitute for education on a year-for-year basis. Strong oral and written communication skills. Demonstrated ability to work with detail, good organizational and coordination skills. Strong word processing and spreadsheet skills. Exceptional customer service skills. Demonstrated ability to work collaboratively in a team setting.

** Preferred Qualifications **

General accounting and/or finance experience. Experience using Microsoft Access or other database programs. Experience with making travel arrangements.
