General Purpose:

Perform a variety of business and member support activities for the Central Area. Independently plan, coordinate, and manage all aspects of internal and external meetings, conferences, or special events. Provide in-office support to field representatives and area managers needing member assistance. Take ownership of daily and ad-hoc activities and requests including but not limited to reporting, compiling and organizing data, preparing presentations, developing and maintaining documentation, maintaining fleet records, etc. Offer analytical support for management staff as requested. Function as the Central Area human resources point of contact and liaison, partnering with the divisional HRBP and corporate HR teams. Independently solve problems in straightforward situations; for more complex or new situations, analyze possible solutions or course of action and present ideas or make decisions using experience and judgment and precedents.

Job Duties and Responsibilities:

  • Plan and coordinate all aspects of small to large internal and external meetings, conferences, or special events

  • Research and plan accommodations, transportation, meeting space, offsite venues, onsite activities, and other logistics as necessary by using RFPs, site visits and other evaluation criteria to determine best value

  • Compile project plans which summarize costs, event times, attendance numbers, equipment needs, catering, decorations/floral, and other related details

  • Maintain accurate and updated data related to guest list, travel logistics, room blocks and other items

  • Provide onsite management for the member meetings on location at the time of the event

  • Maintain records of event aspects, including financial details of event activities and reconciles event- related expenses to budget

  • Utilize various technology systems and software to support meeting planning end-to-end process

  • Procure, prepare/compose, and distribute materials as needed ensuring accuracy and DFA style guidelines are maintained

  • Communicate with staff, team members, and members as needed to streamline workflow

  • Work collaboratively with area management and follow field representatives, cooperative staff, and other industry resources to address member articulated and unarticulated needs

  • Provide member related services such as responding to member calls, managing member mailings, filing and recordkeeping

  • Stay aware of industry news, market trends, national and local issues, and DFA information and service resources in order to support Central Area staff and members

  • Compile and organize data from multiple sources for the preparation of various reports or presentations

  • Maintain fleet vehicle records and registration

  • Serve as the HR liaison for the Central Area to include partnering with corporate HR groups

  • Partner with talent acquisition for job postings and onboarding new employees

  • Serve as first point of contact for local employee relations issues in partnership with the divisional HRBP

  • Prepare and submit master change forms in partnership with divisional HRBP

  • Serve as initial point of contact for employees and managers for support for retirement benefits

  • Serve as DairyU, Value Integrity and benefits open enrollment coordinator

  • Partner with Central Area leadership to create employee engagement initiatives. Serve as engagement champion on divisional employee engagement team

Education and Experience:

  • Undergraduate degree in business, office administration, human resources, or related curriculum, or equivalent practical work experience (work experience may be substituted for the required education on a year-for-year basis)​

  • 2 to 5 years meeting planning, business support, HR, or related experience

  • Dairy industry experience preferred

  • Certification and/or license – Notary preferred

  • Knowledge of and skill with Microsoft Office Suite, SharePoint, and Power BI, Adobe Suite, Cisco® Webex meeting platform, and Salesforce (preferred but not required)

  • Excellent customer service skills, organizational skills, phone skills, problem-solving skills, people skills, and the ability to thrive in a group environment.

  • Able to demonstrate a passion for working with dairy producers

  • Able to maintain a high level of confidentiality

  • Must be able to read, write and speak English
