Job Description Summary:
The Administrative Assistant will directly support the education mission for the Department of Internal Medicine. This position will be responsible for supporting our CORE and sub-specialty programs administrative needs for Graduate Medical Education. The administrative assistant will assist with phone, faxes, and office mail, along with processing payments, reimbursements and invoices for internal suppliers and external vendors.

Job Duties Outlined
- Support IM Dept GME Specialty Programs
- Distribute faxes and mail.
- Submit orders for IT, facilities, housekeeping.
- Perform supply purchasing in Workday for offices and new hires.
- Maintain monthly billing for FedEx.
- Responsible for processing payments, reimbursements, invoices, hardware, and software licenses, as well as outside vendor services and contracts.
- Utilize Workday to manage PTO and time away requests for residents and fellows.
- Manage distribution groups, invites, and send out communications to various teams (Zoom, Microsoft Teams, Blackboard).
- Assist in maintaining and updating resident and fellow licenses in MedHub.
- Organize conferences and assist in research/clinical/student Training Programs as needed.
- Manage calendars including conference rooms and team calendars as needed.
- Create and run data reports as requested and work with GME office as needed.
- Create spreadsheets, presentations, and administrative forms utilizing Microsoft Word, Excel, Outlook, and PowerPoint.
- Schedule and manage the coordination of program events, i.e. Graduation, Welcome BBQ, Yearly Get-Togethers.
- Assist with Resident/Fellow recruitment.

Required Qualifications
Education: High school diploma or equivalent
Work Experience:
- 3 years of related experience.
- Experience with Microsoft Office Suite.
Preferred Qualifications
Education: Bachelor\'s Degree
Work Experience:
- Experience in higher education setting
- Experience with Workday and MedHub
- Experience with ACGME guidelines
- Project Management experience
- Basic accounting experience

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
