Job Description:
50% - Appointment Processing
Provides the processing and auditing for campus personnel, appointment, and payroll related transactions.
Ensures that data entered into the HR/Pay related systems are accurate, timely, and complete. The employee must be able to identify transactions that require further evaluation, approval, or additional information necessary before being processed in the HR/Pay operating system.
Utilizes an intricate understanding of HR/Payroll related systems in accordance with HR policies and procedures.
Coordinates HR/Pay system and Onboarding processing with other stakeholders to ensure accurate payroll processing and state records. Internal and external stakeholders include but are not limited to the HR Transactions Team, HR Partners, Units, Payroll, Onboarding, HR/Pay, Compensation and Employment.
May assist and coordinate with HR Transactions and Onboarding teams with business processing regarding form design and completion, documentation and record keeping, research and audit activities, timelines, and continuous workflow design to bring efficiencies and automation when possible.
Ensures data and the entry or correction in the system is compatible with system requirements.
Coordinates with supervisor on resolution activities.
Identifies and generates reports working with internal teams for data integrity and policy compliance. Engages in projects to improve data quality and retention activities.
Works all HR/Pay load activities, including but not limited to E-PAFs, Onboarding, Budget Load, Sabbaticals, Compensation Adjustments, etc.
Focuses on processing transactions in a deadline driven environment that has cyclical times of high volume of transactional activity (i.e., 3G hiring and onboarding, summer compensation for faculty, university compensation changes, etc.)
Assists with the University’s Affiliate appointment activities, POI interfaces, etc.
Engages with Compensation and Total Rewards team on benefit or compensation matters that impact the employee’s record.
25% - Customer Service
Serves as a tier 2 level support to answer payroll related questions (except for those related to deductions, taxes, and international payments) and policy inquiries.
Resolves time sensitive issues independently or with supervisor based on university and state deadlines.
Collaborates with the team to continuously identify efficiencies, new automation activities, and define business processes, procedures, and policies to improve the customer experience.
15% - Off-Cycle Payroll Processing
Responsible for the correct processing of off-cycle payroll checks for overpayments, underpayments, and supplemental checks. Initiates the direct data entry of changes to charges and funding and/or calculates and audits for correctness.
Works with the Payroll Office on actual payment processing or troubleshooting of errors. Ensures transactions are in compliance with statutory, regulatory, and system requirements.
5% - System Upgrades
- Assists system development teams for both new system implementations and periodic system upgrades. Attends team meetings and participates in special projects as necessary to analyze problems or develop system procedures.
5% - Other duties as assigned.
- Actively participates in professional development activities to promote learning and growth.

Required Qualifications:
Bachelor's degree in Accounting, Business, Human Resources or a related field OR an Associate Degree in Accounting, Business, Human Resources or a related field and 2 years of experience in accounting, auditing, bookkeeping and/or payroll related activities OR a High School diploma or completion of G.E.D. equivalency and four years’ experience in accounting, auditing, bookkeeping and/or payroll related activities
Previous work experience that required the ability to provide excellent customer service in a fast-paced environment.
Demonstrated written communication and organizational skills as evidenced by application materials.

Experience in working with both the public and university departmental offices.
Knowledge, skill and ability in the following:
Knowledge of computerized accounting software.
Ability to establish and maintain effective working relationships with coworkers and representatives of other agencies or departments.
Ability to organize and clearly express information in concise written form.
Ability to read, comprehend and apply pertinent laws, rules and regulations.
Position Overview:
The University of Kansas Human Resources Department is seeking an Appointment Specialist to assist with the processing and auditing for campus personnel and payroll related transactions. The successful incumbent in this position will be detail-oriented, accurate, and have the necessary organizational skills to ensure workload volumes are processed in a fast-paced and deadline driven atmosphere with acute attention to customer service.
Due to complex state employment laws, the University of Kansas may be unable to hire fully remote workers for this position outside of Kansas.
