Job Description:

  • 40% - Oversee annual and other report preparation including compliance with Federal, State, University and KUCR policies for grant and contract proposals. Serve as liaison to various funding agencies, KUCR-PostAward office, KUCR-Contracts, LSI Grant Coordinators and LSI PIs and staff to ensure LSI compliance with policies and proper submission of all forms of reports. Work with PIs and administrative staff to ensure that reports are submitted on time and conform to agency specifications.

  • 30% - Oversee proposal preparation including compliance with Federal, State, University and KUCR policies for grant and contract proposals. Serve as liaison to KUCR-PreAward office, KUCR-Contracts, COI, HSC and IACCUC Committees to ensure LSI compliance with policies and proper submission of all forms of proposals. Specialize in budget development and review, especially complex, multi-project or site proposals. Work with PIs and administrative staff to ensure that proposals are submitted on time; Coordinate and edit collaborative proposal narratives including center grants and program projects conforming to agency specifications. Review formatting requirements per agency specifications.

  • 10% - Assist PIs in the preparation of budget justifications, time commitments, matching funds, subcontracts and consulting commitments, resources, other support, and other components of the proposals Alert PIs and assist them with the preparation of "Just-in-Time" (JIT) reports for NIH in anticipation of the receipt of grant awards. Process grant applications through the University system.

  • 10% - Review proposals for budgetary compliance and justification: Verifying allowable costs, salary restrictions, pre- and post-award conditions, travel limitations, F&A rates, F&A return and reporting requirements. Help PIs prepare electronically submitted proposals. Execute, review and signatory authority on grant proposals and grant related documents that are eligible for processing through the LSI's expanded authority status ("super center").

  • 5% - Participate with the LSI Director and the Associate Director for Budget and Planning as a member of an executive team that manages unit policy. This includes contributing to discussions and providing counsel toward policy formulation and implementation, obtaining and analyzing large data sets for the Director in support of both long-term and short-term decisions about infrastructure policy and directions at the LSI, and representing the LSI on committees and at meetings with KUCR, the Office of Research and Graduate Studies, and other groups across campus. Prepare various center reports regarding Project Development based upon requests from the LSI Director, LSI Center Directors and/or PIs. Help maintain and update background "boiler plate" items (current support, biosketches, facilities descriptions, etc.) necessary for proposal submission.

  • 5% - Directly supervise 3 positions in the Project Development Core for LSI. Oversee another 10-15 positions regarding the proposal preparation aspect of their jobs. Ensure that technical/professional expertise is maintained to support research activities.

Required Qualifications:

  1. Master’s degree in Business Administration, Finance, or related field and 3 years of related experience or a Bachelor’s degree and 5 years of related experience.

  2. At least two years of experience with PC-platform software (e.g., Microsoft Office or similar products) which demonstrates the ability to use software for preparation of budgets, word processing, and communication activities, as evidenced by application materials.

  3. Two years of supervisory experience, as evidenced by application materials.

  4. At least five years of experience with NIH, USDE, NSF, HHS, or other relevant federal or state agency grant preparation which demonstrates familiarity with grant organization and application components (e.g., biosketches, grant support documentation, facilities/environment, etc.), as evidenced by application materials.

  5. At least two years of experience with Adobe Professional products which demonstrates skill in the creation of portable documents, as evidenced by application materials.

  6. At least three years of experience with electronic proposal processing, as evidenced by application materials.

Preferred Qualifications:

  1. Excellent organizational skills, as evidenced by ability to create and maintain databases, and coherent file folder structures.

  2. Experience reading and interpreting requests for proposals (RFPs) or requests for applications (RFAs) from federal agencies.

  3. Familiarity with university policies in preparation for grant submissions (e.g., human subjects, animal care, etc.).

  4. Familiarity with www.grants.gov website and grant submission procedures and formats applicable to the National Institutes of Health, Institute of Education Sciences, National Science Foundation, and other relevant federal agencies.

  5. Experience collecting and organizing data from surveys and presenting in an interpretable format.

  6. Knowledge of Center Grant/Core Grant mission and purpose.

Position Overview:

The person in this position is responsible for overseeing all aspects of proposal preparation including compliance, budget development and review, coordinating and editing collaborative proposal narratives. Acts as liaison to KUCR PreAward office, KUCR contracts office, HSC and IACUC Committees. In addition, the Associate Director is responsible for unit reporting to the funding agencies, reporting on a number of major data projects to the LSI Director, and acts as part of an executive team with the Associate Director for Budget and Planning and the LSI Director in decision making, and unit policy formulation/implementation.
