Event and Program Planning and Implementation (95%) :

  • Oversee and perform administrative duties in the planning and implementation of law school and law alumni events and activities, including – but not limited to – receptions, lectures, symposia, conferences, retirement functions, homecoming and reunion activities, continuing legal education (CLE) programs and other miscellaneous functions and activities that involve the school, faculty, alumni and/or students.

  • This includes preparing nametags; tracking RSVPs; arranging for venues, catering and alcoholic beverage service; coordinating travel and accommodations for speakers and guests; managing and tracking payments and budgets for the events and activities; working with staff, faculty and students who are involved in the events; and performing all other such tasks that may be required to ensure that events are successfully executed.

  • Including on-site support with event set-up/tear-down, room arrangement, transporting supplies to and from events and staffing the registration table.

Budgets, Planning and Other Duties (5%) :

  • Develop operation and budgetary needs for areas of responsibility, monitor progress in those areas to ensure that events stay within budget, negotiate contracts with vendors for events and ensure that all University and KUEA procedures are followed.

  • Provide direction, coordination and support to administrative staff who are tasked to assist with events.

  • Work collaboratively with the Dean’s office, administrative leadership, communications and other personnel and perform other duties as assigned.

Required Qualifications:

  1. Bachelor’s degree in communications, public relations, education or other relevant field.

  2. Minimum of three years of related experience.

Advertised Salary Range:

$26,000 or commensurate with experience

Preferred Qualifications:

  1. Experience planning and/or promoting events, conferences, or programs.

  2. Evidence of strong writing, verbal, and interpersonal communication skills.

  3. Demonstrated ability to communicate effectively with students, faculty, alumni and other stakeholders as evidenced by prior experience.

  4. Experience managing multiple detail-oriented projects on tight deadlines.

  5. Experience collaborating and contributing effectively as a part of a team.

Position Overview:

The Events Coordinator develops and executes law school events, programs and activities that promote, benefit and support the law school and all of its various constituencies. The coordinator performs project management, public relations and hospitality for law school events and collaborates with faculty, administrative staff, students, and alumni. This is a regular, half-time, benefits-eligible, unclassified position.

Position Requirements:

This position will have a hybrid work arrangement. Incumbent will work remotely and on-site at the Lawrence, Kansas, campus based on a set departmental schedule. Position requires flexibility to adjust schedule to work some evenings and weekends as needed and limited travel for select area events.
