Job Description:

50% - Academic Advising

  • Provide proactive and holistic academic advising to assigned new and currently enrolled students.

  • Guide student progress through academic milestones, including enrollment, career exploration and graduation.

  • Advise students on the development and selection of course schedules consistent with students' educational goals.

  • Assist students in developing appropriate educational goals and working towards those goals.

  • Assist students with completion of financial aid appeals, probation agreements, graduation plans, etc.

  • Provide outreach to students as needed in addition to providing appropriate follow-up and referral to university offices and resources.

  • Provide advisement to all students as necessary including those that may not be assigned to the advisor.

  • Facilitate student enrollment and approval processes such as petitions, enrollment changes, appeals, and applications for graduation in compliance with appropriate deadlines and approval channels; provide appropriate referrals to university offices.

  • If appropriate for assigned caseload, provide prospective student advising to provide new student inquiries through application.

  • Maintain program information, student communication strategies, and transcript and progress review to provide one-on-one guidance to students to meet program admission goals.

  • Use Slate, Jayhawk GPS, Enroll & Pay, and other relevant communication and advising tools for student application coaching, student enrollment, degree audit, course prerequisites, etc. Complies with FERPA. Manage caseload of students with provided academic advising software and tools in a manner that is consistent with office metrics and milestones.

  • Serve as a system “super user” to provide adequate support and training to advising staff while assisting with coverage needs.

  • Support University efforts geared toward increasing recruitment and retention.

  • Participate in University orientation efforts.

  • Responsible for knowledge of and compliance with Board of Regents and University policies regarding daily job-related activities applicable to the position.

30% Supervision of Academic Advising

  • Provide daily supervision, evaluation and development of 2-3 academic advisors. Work in close consultation with the Assistant Director to ensure supervision is consistent and the experience across teams is cohesive.

  • Ensure advisors meet university milestones and standards as set by Jayhawk Academic Advising.

  • Ensure compliance with all student records and enrollment requirements, FERPA, Financial Aid policies, processes, procedures, etc.

10% Academic Advising Support

  • May serve as the primary point of contact and lead JAA’s work evaluating student athlete progress towards degree analysis for Student Pathways team.

  • May be assigned a student caseload to cover for vacant advising positions.

10% - Other duties as assigned

  • Assist in delivering new advisor and ongoing advisor training content.

  • Assist in new advising hiring processes.

Required Qualifications:

  1. Bachelor’s degree.

  2. Four years of experience providing direct academic advising in a full-time setting at KU or three years of experience providing direct academic advising in a full-time setting at KU with at least one year of relevant student facing, higher education experience (admissions, career, student affairs, etc.) in a full-time setting.

  3. Prior experience establishing and maintaining rapport with students, as shown in application materials.

  4. Effective written communication skills, as evidenced by application materials.

  5. Evidence of superior teamwork/collaboration skills, as shown in application materials.

  6. Demonstrated experience in a work setting requiring shared accountability and commitment to meeting performance expectations, as evidenced in application materials.

  7. Demonstrated experience in group facilitation or providing formal training, as evidenced in application materials.

  8. Demonstrated experience handling confidential information with care and in accordance with JAA and KU guidelines, as evidenced in application materials.

Preferred Qualifications:

  1. Master's degree in higher education, counseling, advising or related field.

  2. Experience with transcript evaluation and/or student application process coaching, as evidenced by application materials.

  3. Supervisory experience, as evidenced in application materials.

  4. A variety of professional and/or academic experience with institutions of higher learning, as demonstrated by application materials.

  5. Experience with university-wide academic program requirements and university procedures, as evidenced in application materials.

  6. Demonstrated commitment and enthusiasm for cross-training, advising across KU Student Pathways and supporting student needs beyond assigned advising caseload, as shown in application materials.

  7. Demonstrated use of innovative and highly effective advising processes and practices, as shown in application materials.

Position Overview:

Jayhawk Academic Advising (JAA) is a unit within Academic Success, a division of Academic Affairs. JAA provides comprehensive academic advising services for new and currently enrolled students, inquiry to applicant and current student advising, and serves all undergraduate majors and some graduate programs across the University. JAA is staffed by professional advisors, support staff, and graduate assistants. JAA maintains a highly student-centered focus and demonstrates commitment to continuous quality improvement and resilience for a dynamic and changing work environment.

The Lead Academic Advisor position provides both holistic and proactive academic advising to support a caseload of students and provides supervision and leadership for a small number of academic advisors. The Lead Academic Advisor may be called upon to help cover advising caseloads in times of transition and is responsible for content expertise across a student pathway. This position reports to an Assistant Director of Jayhawk Academic Advising.

All advising positions in JAA are assigned to a specific KU Student Pathway as a part of an embedded advising model. Student pathway assignments will be determined by what is mutually beneficial to the needs of JAA and the advisor.
