Essential Functions

- Reviews new membership and/or renewal forms; tracks new members including member contact information, dues tracking, updated specializations and detailed specializations.

- Ensures dues tracking information is kept up to date including membership information in support of the KSPC Treasurer. Follows up with email reminders for unpaid dues as needed.

- Participates in Executive Committee Meetings by building the agenda to include upcoming events/needs; discusses financial reports and the planning of general assembly meetings; organizes completion of KDADS quarterly reports and provides support needed for ongoing tasks; provides reminders and updates as well as subcommittee updates.

- Participates in General Assembly Meetings by creating a copy of the most recent work meeting agenda; determines the length of subcommittee work and updates by sending requests for presenting tasks/requests/questions and listing the order of presenting Subcommittee Chairs. Lists out all Coalition updates building in time for member updates/questions. Sends email reminders including the meeting link and agenda. Creates the PowerPoint for the meeting and brief introductions for any presenters if needed.

- Responsible for the website including announcements and calendar events; keeps announcement slide updated with Subcommittee meeting dates/times and calendar events as well as any General Assembly meeting, Coalition events and Member events.

- Following elections, emails new members to request picture, pronouns and a brief biography for the website and provides that information to the Website administrator.

- Updates the Executive Committee roster on the Home and About page of the website, as necessary.

- Attends Subcommittee meetings and must be able to understand/reference relevant information on KDADS contract\'s Scope of Work and the Kansas Suicide Prevention State Plan.

- Provides debrief on the year; reviews feedback from the Annual Meeting and creates timeline for the upcoming year\'s work.

- Prepares reports for the Annual meeting regarding work completed within the fiscal year and discusses next steps, utilizing the state plan to help support identifying new work.

- Support Subcommittee chairs by sending emails for reminders, agendas, notes, etc.

- Reviews the financial manual and ensures it is updated annually by collaborating with the Executive Committee President, Treasurer, KDADS, and the leadership of the fiscal agent.

- Tracks coalition expenses; completes and sends expense reimbursement forms and receipts to the President and Treasurer for signature; signed forms are then sent to the relevant fiscal agent/business or financial team member. Follows up with any other expense protocols as needed.

- Tracks and follows expense reimbursement protocol for any personal expenses related to the job (mileage to a conference, etc.).

- Completes and sends timely reports to the KDADS State Suicide Prevention Coordinator

- Responds and stays connected to the coalition President and KDADS staff.

Education, Experience, and Licensure

-Requires a Bachelor\'s degree or equivalent experience

- Experience working with coalitions is required

- Must possess a valid state Driver\'s License, in force automobile liability insurance, and maintain a Motor Vehicle Record (MVR) that meets organization\'s insurability standard as defined by DCCCA policy. Availability of reliable transportation is required for this position.

Knowledge, Skills, and Abilities

- Effective listening, oral, and written communication skills, including face-to-face, on-site, in person discussions. Exercises appropriate use of positive language.

- Regular and predictable on-site attendance.

- Proficiency with computers and Microsoft suite of products including Microsoft Word, Outlook, Excel, and PowerPoint.

- Ability to efficiently operate other office equipment such as telephones, voicemail systems, copy and fax machines, and scanners.
