Job Description:

20% - Plan, coordinate, and monitor project activities to support center and program work. Examples of work performed may include:

  • Interview project sponsors to identify and document scope of work and priorities.

  • Create and maintain project plans and timelines to include deliverables, resources, stakeholders, and contingencies.

  • Convene teams to discuss, lead, and implement each project plan in conjunction with project scope and guidelines.

  • Maintain the health of work portfolios through contributing to plans, projects, and tasks as a subject matter expert.

  • Plan for and negotiate resource capacity needs and timelines.

  • Evaluate staffing levels and make recommendations for hiring, skills training, and redistribution of workload.

20% - Manage and monitor workflow and project deliverables as defined in project plans. Examples of work performed may include:

  • Help work stay on track and move forward, ensuring that teams are meeting milestones and due dates.

  • Identify barriers and roadblocks and collaborate with stakeholders to resolve.

  • Document workflows, processes, and procedures using preferred methods and tools.

  • Identify process improvements; implement those that are approved.

  • Coordinate development and revision of project plans.

  • Coordinate handoffs between project staff and project teams.

  • Produce final project deliverables.

20% - Communicate within and across teams to support projects. Examples of work performed may include:

  • Model and use preferred methods and tools to communicate with center-wide stakeholders (information-gathering, action items, due dates, status updates, timeline and capacity changes, debriefs, etc.).

  • Develop visual and written reports for managers and stakeholders.

  • Actively participate in and facilitate meetings, including agenda building, note-taking, and coordination.

  • Develop, maintain, and communicate changes in project documents, including procedures, workflows, and plans.

  • Respond to inquiries and requests from partners and project staff; proactively seek feedback to anticipate needs.

  • Participate in capacity reporting and forecasting.

  • Develop and review technical documents, project reports, web content, and other communications.

20% - Copy edit a variety of written content. Examples of work performed may include:

  • Proofread, copy edit or write content.

  • Edit with Microsoft Word track changes.

  • Provide comments and suggestions to writers.

  • Format documents to match a template (apply document styles, logos, and copyright statements).

  • Follow style guides and other instructions.

  • Update documents for accessibility.

  • Perform a quality check of editing, document accessibility, and video captioning completed by staff.

  • Serve as a subject matter expert to grant and project planning teams by designing or reviewing proposal narratives, scope of work, and capacity or budget estimates.

15% - Manage team members and supervise staff. Examples of work performed may include:

  • Model and foster an intentionally respectful and inclusive work environment.

  • Cultivate professional growth through mentoring, guidance, and technical assistance.

  • Build goals and conduct probationary and performance evaluations.

  • Hire, train, supervise, and evaluate assigned staff.

  • Identify, schedule, and assign tasks.

  • Identify and address barriers to project or task progress.

5% - Other duties as assigned.

Required Qualifications:

  1. Bachelor's degree in a related field and 1 year of experience, OR high school diploma and four years of related experience

  2. Four or more years of experience editing professional documentation, such as grant proposals, training materials, presentations, website content, and correspondence

  3. Two or more years of experience managing timelines and effectively coordinating multiple teams or projects simultaneously as demonstrated through previous work experience

  4. One or more years of supervisory experience

  5. Strong written communication skills as demonstrated by application materials

Preferred Qualifications:

  1. Experience with APA style, as evidenced in application materials.

  3. Work experience that required strong problem solving skills, as demonstrated in application materials.

  4. Bachelor's degree in English, communications, business, or education

  5. PMP certification

Position Overview:

Accessible Teaching, Learning, and Assessment Systems (ATLAS), a research center at the University of Kansas (KU), is seeking a Research Project Coordinator to support the Implementation team. This position will have responsibility for leading a team of project specialists who support communications. Main duties include copyediting, formatting, and branding of materials; supervising staff; and creating and monitoring workflows and assignments.
