The Corporate Facilities Assistant is accountable for performing a wide range of administrative and office support for the corporate headquarters.
Maintains physical space, ensuring a safe, clean, and functional office environment.
Acknowledge and direct visitors and clients accordingly.
Maintain office supply inventories and reorder as needed
Maintain entryways with Covid-19 supplies
Shipping & Receiving Coordinator
Manage and maintain a clean mail room including; opening, sorting and distribution of incoming correspondence/packages.
Maintain shipping supplies and postage
Monitor and process FedEx shipments and invoicing for payment to vendor
Coordinate pallet and recyclable pickups
In compliance with OSHA standards ensure dock is clean and free of any hazards.
Schedule and Coordinate maintenance of office equipment
Coordinate maintenance of office equipment
Receive, manage, and submit work orders for building maintenance; ensures problems are resolved quickly.
Maintain Café and Galleys by managing inventory of supplies, cleaning areas not contracted by janitorial service
Manage cleaning supply inventory for janitorial service.
Coordinate annual preventative maintenance of all facility equipment
Acts as liaison/gatekeeper to outside contractors providing service ensuring safety standards are followed throughout facility
Vendor Relationships: Point of contact for vendors to ensure facility is properly maintained according to schedule.
Hospitality: Assist with Executive Meeting Setup (Board, LT, Quality, Operations, Human Resources)
Catering – order from approved vendors
Administer Card Access Program and issue new and replacement badges as directed
Order business cards as directed
Maintain electronic floor plan i.e. name plates for cubicles and assignment of office/cubicle space.
Maintain Vendor and liability list
Maintain Xhibit Slideshow with current/relevant information
Reconcile/code invoices and submit for approval
Depending on person could expand in this area to include safety.
2+ years of relevant experience within Facilities and/or Administrative Support
High School Diploma or equivalent
Experience working with Microsoft Program (Outlook, Word, Excel
Excellent verbal and written communication skills.
Proficient in Microsoft Office Suite or related software necessary to create and maintain reports and logs.
Excellent organizational skills and attention to detail.
Ability to perform well in a fast-paced environment.
Ability to balance multiple priorities and to work under tight deadlines while providing consistent and professional service.
Ability to maintain confidentiality
