Nuveen Investments Administrative Assistant in New York, New York
The Administrative Assistant is responsible for onsite support and liaison for one or more executives by providing assistance with administrative/operational tasks, organization duties, and office-wide coordination efforts.
Key Responsibilities and Duties
Complex calendar coordination and management in multiple time zones
Prepare meeting materials, agendas, and prove overall understanding/comprehension of requested deliverables.
Expense submission and reimbursement; cost management and budget tracking
Coordinate detailed travel arrangements, both domestic and international
Facilities maintenance as needed (eg: cleaning and HVAC requests); act as a liaise with building management, office services, IT department.
Assists with corporate workspace planning initiatives and daily operations.
Event management (e.g.: associate functions, culture events, client meetings)
Connect and consult with the Nuveen Leadership Team admins with various ad-hoc requests.
Must be effective at listening to, understanding, and clarifying concerns raised by management; must be able to maintain confidentiality of information.
Serve as backup support for fellow assistants on leave.
Must adhere to all compliance regulations and internal policies; actively monitoring compliance and identifying potential risks to mitigate non-compliance issues; stay up to date with issues.

Qualifications:
Required:
- 1-2 Years working as a receptionist, conference services, or events coordinator.
Preferred Qualifications:
Proficiency in Microsoft office
Excellent oral and written communication skills (including reading, writing, clear speaking voice and good listening skills)
Strong organizational, project and time management skills
Excellent organizational and administrative skills with the ability to prioritize and carry out multiple tasks simultaneously.
Maintain a consistently pleasant and professional approach, with a willingness to take ownership and responsibility.
Work well under pressure and carry out responsibilities with little supervision.
Comfortable working with various senior leaders
Availability to work overtime as needed.

Base Pay Range: $22.13/hr. - $40.63/hr.
Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location. In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary incentive programs, non-annual sales incentive plans, or other non-annual incentive plans).
