General Responsibilities:
Performs variety of invoicing and government support activities including entering, reviewing, processing, auditing, and reporting of information and ensuring that the data is in compliance with state and federal regulations. Also responsible for providing customer service to employees, office staff and management for payroll related items.
Essential Roles and Responsibilities:
With limited supervision, performs a variety of routine and non-routine complex billing functions to ensure the proper preparation of accurate and timely bills to customers based on contract terms.
Coordinate the workload of group and assign staff special projects, as needed. Delegates tasks to meet appropriate deadlines.
Coordinate the training of the government compliance billing group.
Research and analyze write-up/write-down differences greater than the set limit for assigned divisions and prepare deferral spreadsheet to record the adjustments.
Set up and maintain complex prevailing wage projects in project registration system.
Responsible for the accurate entry of wage determinations and overtime schedules in the prevailing wage application.
Oversee the preparation of government required reports including certified payroll reports.
Responsible for the tracking and reporting of large transportation proposals to the transportation group.
Responsible for answering prevailing wage questions for both Federal (Davis Bacon) and state prevailing wage projects.
Assist with preparing employee benefit statements as requested.
Responsible for project audits including running report, pulling documentation, investigating differences, and responding to the auditor.
Assist with compiling rates for government proposals.
Assist with the overhead audit preparation. Assist with answering prevailing wage questions for both Federal (Davis Bacon) and state prevailing wage projects.
Assist with preparing employee benefit statements as requested.
Assist with answering state auditor questions on the overhead rate submittals and providing requested documentation.
May serve in a backup capacity during the absence of the supervisor.
Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
Be responsible for maintaining quality standards on all projects.
Requirements:
Associate’s degree with a minimum of 4 years’ related experience. Or, in lieu of a degree, a minimum of 6 years’ related experience.
Bachelors’ degree preferred.
Strong knowledge of invoicing practices and government compliance.
Strong accuracy with data entry
Advanced knowledge of Excel and general computer skills
Strong analytical and problem solving skills
Valid driver’s license with acceptable violation history.
