We are searching for a highly qualified Executive Assistant to support the Health Plan CEO and leadership team who will be responsible for providing ultra-responsive, proactive support to executive leaders. This role is responsible for maintaining calendars, setting up meetings, making travel arrangements, tracking expenses, coordinating building and equipment requests, and partnering with the team to drive the overall rhythm of the health plan. This position will report directly to the Health Plan CEO and be central to organizing and optimizing the leadership team. This position is full-time (40 hours). Employees are required to work our normal business hours of 8:00am – 5:00pm ct. It may be necessary, given the business need, to work occasional overtime. We are seeking someone in the greater Overland Park, KS area who can work in office when needed. The office is located at 6860 W 115th St. Overland Park, KS 66211.

Primary Responsibilities:

  • Provide administrative support in a manner consistent with the highest level of performance and professionalism while building effective relationships with other administrative assistants; operate as a team player

  • Maintain and update calendars in a fast-paced environment with many competing priorities including fielding all incoming scheduling requests, prioritizing the most urgent and sensitive matters and meetings, communicating with all parties, and ensuring that meetings are set up for success

  • Organize health plan meetings & town halls, including scheduling, working with facilities to secure meeting space and coordinating with remote participants

  • Create / prepare meeting materials (e.g., Microsoft PowerPoint deck; agendas, room setup), coordinate meeting follow-ups and action tracking (including meeting minutes) and ensure distribution to appropriate individuals in a timely manner

  • Coordinate in-person meetings and/or event plans including securing event space as appropriate, ensuring effective audio/visual capabilities and appropriate supplies, liaising with technical and facility teams and procuring food

  • Coordinate travel arrangements and provide organized resources (flights, hotels, itineraries, agendas, reservations for meals, meeting materials, etc.) for upcoming leader travel and meetings

  • Submit and approve travel requests and expense reports timely and accurately

  • Operate as a business systems liaison assisting with procuring hardware and software for the executive team

  • Be proficient with various software including Word, Excel, PowerPoint, Visio to prepare presentations, reports, agendas and other communications

  • Maintain and distribute lists as needed (e.g., organization charts, email distribution list, contact, etc.)

  • Professionally represent the leadership team to internal and external clients

  • Work independently to perform varied administrative duties

  • Maintain a high level of organization and attention to detail

  • Maintain a high level of confidentiality; Handle confidential information professionally and discreetly

  • Create a welcoming environment for guests and employees

  • Enter and submit purchase orders into relevant systems (e.g., ARIBA) to purchase office supplies from pre-approved vendors

  • Special projects as needed to support administrative efficiencies within the health plan

Required Qualifications:

  • 3+ years of experience supporting multiple executive-level staff members

  • 3+ years of experience managing multiple priorities with ever changing business needs while effectively prioritizing to meet deadlines and maintain a high quality of work

  • 3+ years of experience working in a fast-paced, matrix organization

  • 3+ years of experience creating and submitting expense reports, and making travel arrangements

  • 3+ years of experience with complex meeting coordination and independent materials preparation

  • 3+ years of experience onboarding new employees, terminations and/or asset recovery

  • Intermediate proficiency in all office suite products; Word and PowerPoint related to job function: Microsoft Outlook & Microsoft Teams for complex calendar management, scheduling meetings, as well as Microsoft Visio, Microsoft Word, Microsoft PowerPoint and Microsoft Excel

  • Ability to work (40 hours) our normal business hours of 8:00am – 5:00pm. It may be necessary, given the business need, to work occasional overtime

  • Hybrid role, at Overland Park, KS Office 2-3 days per week

  • Demonstrated ability for limited travel in state for events if needed

Preferred Qualifications:

  • Co-pilot, other natural language processing software experience or openness to learning software

  • Experience or knowledge of the health care industry

  • Business system liaison experience

  • Proven written communication skills including the development and delivery of executive and large audience communications

  • Takes accountability and ownership of tasks, performance standards and quality results

  • Excellent organizational skills and ability to provide admin support to complex projects

  • Excellent interpersonal skills with the ability to manage complex schedules and provide admin support to multiple executive leaders

  • Excellent verbal and written communication skills, including being a good listener

  • Ability to maintain integrity of sensitive/confidential information and operate with superb tact and judgment

  • Resourceful; able to drive and prioritize work with independent decision-making and minimal oversight and work closely and collaboratively with teammates

  • Provide accurate and timely information for the progress and completion of tasks

  • Proven experience delivering a high level of internal and external customer service
