Summary:

The Executive Assistant to the Chief Executive Officer (“CEO”) and Chief Financial Officer (“CFO”) is responsible for providing administrative support to the CEO and CFO. This position is responsible for performing a number of administrative duties, including but not limited proactively managing work, schedules, meetings, travel, etc.  The Executive Assistant will possess excellent written and verbal communication skills, exercise mature and professional judgment, and have outstanding time management skills. 

Essential Job Functions include, but are not limited to the following:

  • Provides administrative and clerical support to the CEO and CFO, ensuring the smooth operation of each of the CEO and CFO’s areas.

  • Maintains complete confidentiality with a high volume of confidential information.

  • Coordinates schedules, meetings, agendas, travel, expense reporting, etc.

  • Organizes and maintains file systems, correspondence, and other records (paper and electronic as required).

  • Exercises excellent communication skills, written and oral, including telephonic, at all levels – from employees to Board Members, and internal/external customers.

  • Composes spreadsheets, presentation materials and internal/external correspondence.

  • Provides support during events and meetings, including Board of Director meetings.

  • Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and CFO, including those of a highly confidential or critical nature. Prioritizes and determines appropriate course of action, referral, or response, exercising judgement to reflect CEO’s and CFO’s style and organization policy.

  • Works closely with the CEO and CFO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping them updated. Anticipates their needs in advance of meetings, conferences, etc.

  • Works with the Senior Leadership Team to coordinate the CEO’s outreach activities.

  • Provides department leaders with recommendations and consultation to improve teamwork.

  • Other duties as assigned.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience:

  • An Associate's degree or equivalent work experience.

  • A minimum of five years’ experience as an executive assistant reporting directly to senior management is preferred.

  • Strong written and verbal communication skills

  • A strong understanding of general corporate matters and duties are essential.

  • Advanced Microsoft Office skills, PowerPoint, Excel, Word and Visio, with an ability to become familiar with Company and/or task specific programs and software.

  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.

  • Experience with project coordination, budget management, data analysis, and strong decision-making skills.

  • Understands business acumen and how their roles fit with the broader business goals.

  • Energetic and eager to tackle new projects and ideas.

  • Team player capable of cultivating productive working relationships enterprise wide.

  • Comfortable with decision-making authority - identify issues and provide workable solutions, then communicate only the pertinent details to the executive, who may or may not follow up with additional direction.

  • Emotional intelligence and diplomacy.
