Pittsburg State University is accepting applications for a Division Staffing Coordinator. The primary function of the Division Staffing Coordinator is to serve as a bridge between Academic Affairs, Economic Development and Community Engagement (EDCE), Human Resource Services (HRS) and Institutional Equity (IE) to support effective hiring practices and organizational efficiency.

Duties and Responsibilities of Position

40% - Recruitment and Hiring Liaison

  • Conduct a preliminary meeting with departments to review and understand the job requirements, responsibilities, and departmental needs for the position.
  • Compile the job duties from the department and create/update position descriptions.
  • Verify job duty consistency within the division/department
  • Make suggestions on appropriate job categories and job titles
  • Assist departments through the search process by:
    • Updating position descriptions and routing for approval/signature
    • Forming an inclusive committee with appropriate stakeholders
    • Obtaining search and salary approvals
    • Ensure the search committee keeps pace with department hiring deadlines by monitoring the search process.
  • Coordinate meetings between hiring manager and division leads to determine salaries for new hires, departmental reorganizations, market adjustments.
  • Determine the appropriate appointment type and categories (Tenure-Track, Non-Tenure track, Administrative, Continuing, Temporary, Full-time and Part-time etc.)
  • Assist HRS to ensure faculty appointment letters are accurately prepared and include the following as required:
    • Tenure & Promotion details
    • Special Conditions
    • Terminal Degree

35% - Communication and Coordination

  • Act as the point of contact between Academic/Economic Development & Community Engagement (EDCE) and the HRS department.
  • Participate in meetings and committees to assist in HR related policy and procedures and support academic and EDCE initiatives.
  • Act as the liaison with department, HRS, and Institutional Equity (IE).
  • Communicate organizational changes to stakeholders across campus.

20% - Data Management and Reporting

  • Assist department leadership in data collection to support decision-making, salary negotiations, salary comparisons and market analysis.
  • Assist in the development and review of salary structures, ensure compliance with institutional policies and market standards.
  • Assist HR with annual report to CUPA and other platforms on the campus salary information.
  • Perform annual reviews of faculty employment data and update as needed.
  • Provide data-backed insights to support salary negotiations and discussions during annual meet and confer processes.
  • Generate reports for division leadership to be used for discussions with Department, School, Colleges and Units to find organizational efficiencies when vacancies arise.

5% - Other Duties as Assigned
