Administrative Assistant
Description
The Administrative Assistant will provide a variety of duties to support effective day to day administrative functions.
ESSENTIAL FUNCTIONS:
1.1. Provide reliable and consistent administrative support to the organization.
1.2. Provide guidance and support of Information Systems, Information Technology, and other systems supported by the team.
1.3. Provide coverage for the front reception area, including answering and relaying telephone calls when the Front Receptionist takes breaks, goes to lunch, or is absent.
1.4. Support the management of vehicle fleet.
1.5. Facilitate, coordinate, and manage logistics for a wide variety of projects and tasks assigned to the Administration and Information Systems team.
1.6. Maintain confidentiality issue and release of information issues.
1.7. Support in mail pickup and distribution.
1.8. Manage timely data collection, reviewing, analyzing, and filing of agency records.
1.9. Assist with the development of power point presentations, bulletins, and other presentation materials as requested.
1.10. Prepare correspondence, reports, mailing, emails, as needed.
1.11. Assist with training coordination, classroom set up/tear down, recordkeeping, data entry, and certificate development and distribution.
1.12. Assist with the procurement, organization, management and distribution of personal protective equipment and safety supplies.
1.13. Provide backup support to all tasks assigned to the Administration and Information Systems team.
1.14. Provide Inservice Training support.
2. ADDITIONAL JOB DUTIES
2.1. Be aware of customer needs and provide quality customerservice.
2.2. Abide by personnel policies and procedures as written.
2.3. Know and be able to speak to OCCKs mission and philosophy to the extent that casual conversation in the community can promote community awareness.
2.4. Perform ad hoc job duties as assigned by Administrative and Information Systems Manager.

3. JOB REQUIREMENTS:
3.1 MINIMUM QUALIFICATIONS:(Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.)
3.1.1. Must have at least 2 years clerical or related experience.
3.1.2. Must have excellent oral and written communication skills.
3.1.3. Must have strong working knowledge of and experience with Microsoft Office products, including Word, PowerPoint, Access and Excel.
3.1.4. Must have the ability to prioritize multiple tasks.
3.1.5. Must have the ability to work with a diverse group of people in a team setting.

3.3. EDUCATION AND TRAINING:
High School Diploma or equivalency required. Associate degree or Business College diploma in secretarial science, business administration, or a related field preferred.
