Job Summary: Manages various administrative duties and follow up functions for the organization, maintaining consistent communication and professional presence for the company. Duties and Responsibilities: * Opening the executive suite by 7:45am every morning (7:30am on Mondays) * Preparing coffee and making sure the executive suite drink station and cooler is clean and stocked * Answering and filtering phone calls * Maintaining conference and training room schedules * Greeting all guests that come in and paging those they are here to meet with * Preparing, sending, sorting, and delivering mail * Makes travel arrangements for managers, directors and VPs, as requested * Making name badges and sending them out to facilities * Tracking and mailing payroll cards and insurance packets * Performing administrative tasks given by corporate office directors, managers and VP’s * Closing the executive office at the end of the day * Ordering and stocking of office supplies * Cleaning and stocking kitchens Job Requirements: * High school diploma required; Associates degree preferred. * Works well with all levels of employees and displays a collaborative and positive work style. * Strong working knowledge of Excel, Outlook, and Word. * Experience operating multi-line phone system. * Ability to practice a high degree of confidentiality and discretion. * Takes direction effectively and works well independently. * Excellent organizational skills and able to prioritize multiple tasks. * Reliable transportation, dependable attendance, and work ethic. * If required to operate a motor vehicle for business purposes, must successfully complete the requirements contained in Company’s Motor Vehicles policy. * Must be able to read, write, speak, and understand the English language. * Must be able to work beyond normal working hours and on weekends and holidays when necessary. * Must be able to assist in the evacuation of residents during emergency situations. * Must be able to perform the essential position functions of the job with, or without reasonable accommodation.
