This position will provide assistance to the finance, marketing and people service teams as well as serve as additional support for project managers and other employees in the Wichita office. Responsibilities of this position will include: * Monitoring the front desk to greet clients or guests, answering multi-line phone system and sign for deliveries, * Assisting marketing team with special research projects, formulating Excel spreadsheets as needed, administering office name plates, assembling proposal documents and other varied duties to execute annual marketing events. * Coordinating use of office conference rooms, company vehicles and other related equipment. * Maintaining office equipment * Managing registrations for webinars, conferences/seminars and association meetings. * Managing and renewing memberships and licenses for staff * Coordinating travel, hotels, meals and itineraries for staff and interoffice meetings. * Maintaining client contact information and marketing updates via internal tracking system. * Drafting and editing professional letters and written correspondence. * Drafting and editing client and subconsultant contracts. * Collecting and entering mileage logs monthly for company fleet vehicles. * Organizing, maintaining and filing correspondence and other records. * Producing document copies, binding reports and ordering office supplies. * Preparing outgoing mail, packages and correspondence including email and faxes. * Ensuring common areas are orderly as well as ordering and re-stocking necessary supplies. * Coordinating and planning office meetings, meals, and events * Assisting project managers with project set-up using internal software * Assisting project managers with project research * Verify, track and manage certificates of insurance Ideal candidates will be able to thrive in a team environment, be task-oriented, self-motivated with strong attention to detail and operate with a client-focused, service mentality.
