POSITION SUMMARY

The position serves as member of the UKSM-W Medical Practice Association Ryan White Program team. The primary function is to provide administrative support to the general operations of the HIV patient care program of the KU Midtown Clinic. Position reports directly to the Program Manager and works with case managers and other staff that provide supportive services to keep HIV patients engaged in primary health care. Job performs routine accounting tasks, maintains office equipment and supplies, and prepares and maintains administrative documents, including memoranda of understanding (MOUs), as directed by program manager. The position also assists with fundraising efforts and events. This position is funded through federal HRSA Ryan White grants.

ESSENTIAL FUNCTIONS

  • Maintain database of MOUs for external providers and facilities that provide care to RW patients
  • Review and update participating provider list and distribute to RW team, clinic providers and staff
  • Collect provider information and screen federal debarment list and NPI list, and document screenings performed prior to processing new MOUs and renewals
  • Coordinate with external providers, finance and administration to obtain MOU signatures
  • Establish and maintain electronic and hard copy files for each MOU and/or grant-funded project to be used for tracking and reporting purposes
  • Maintain inventory of office and program supplies and reorder as needed
  • Maintain inventory and assignment of office equipment, troubleshoot as needed and coordinate repairs and/or replacements with Program Manager and Purchasing
  • Answer and direct phone calls and relay messages in a timely and accurate manner to the appropriate recipient
  • Develop and maintain mailing lists for collaborative agencies and fundraising efforts
  • Compose correspondence and disseminate to appropriate individuals
  • Process operating invoices, receipts, deposits, and check requests for approval and submission to accounting
  • Help compile financial, statistical data and reports as assigned
  • Take minutes of meetings and distribute accordingly
  • Maintain inventory of gift cards and tracking logs
  • Schedule appointments, meetings, conference rooms, and arrange room set-up
  • Participate in fundraising efforts by serving on planning committees and maintaining financial records
  • Provide routine support to Ryan White Program staff as needed
  • Maintains knowledge of HIPAA guidelines regarding protected health information
  • Maintains proficient knowledge of organization emergency procedures
  • Reliable attendance and punctuality
