Distinguishing Features of Work
Wichita Transit is seeking an Administrative Secretary who excels at multitasking, is highly organized, and serves as a welcoming presence for both internal teams and external stakeholders. In this role, you will be the key person ensuring the Transit department operates smoothly behind the scenes while delivering outstanding customer service.\ Acting as the right-hand to the Transit Director and the administrative backbone of the team, you will manage complex calendars, prepare crucial City Council agenda items, and handle travel arrangementsall while effortlessly managing multiple priorities. You will be the liaison between citizens, high-level officials, and the Transit department, addressing everything from customer complaints to correspondence with minimal supervision. Your responsibilities will extend beyond typical clerical tasks to include facilitating meetings, coordinating special projects, and maintaining essential records. Your proactive approach and ability to anticipate needs will be vital in supporting the Transit Director and ensuring the departments success.

Examples of Work Performed
- Manages calendars for Transit Director and Transit facilities, including scheduling interviews for applicants.
- Prepares travel for Transit Administration staff.
- Prepares and enters items into City Council agenda management system.
- Composes correspondence with minimal supervision.
- Makes and verifies complex computations.
- Reads reports and summarizes information to facilitate review by the supervisor.
- Responds to complaints of angry, frustrated citizens or deals with high level officials and business leaders on a regular basis.
- Works with representatives of other organizations or other city departments on a regular basis.
- Prepares routine documents, reports and statements to meet routine deadlines with a minimum of supervision.
- Facilitates Transit Advisory Board, takes notes, keeps meeting minutes, and ensure Kansas Open Meeting Act guidelines are followed.
- Attends meetings to take notes and may prepare minutes of the meetings.
- Completes office supply order.
- May compute, record and maintain files related to financial, personnel, payroll or purchasing information.
- May supervise other clerical support staff.
- Completion of work assignments may require the operation of a vehicle.

Requirements of Work
- Considerable knowledge of business English and modern office practice and procedures.
- Knowledge of standard computer keyboard configurations and ability to access, interpret, and record information through use of a video display terminal and electronic keyboard.
- Knowledge of electronic spreadsheet development, using basic mathematical and descriptive statistical operations.
- Ability to quickly develop considerable knowledge of the specialized operations of the department.
- Ability to quickly develop considerable knowledge of city operations, rules, regulations and procedures.
- Ability to compose letters or memorandums with a minimum of instructions.
- Ability to receive and screen visitors and to release information appropriately.
- Ability to communicate clearly and eff ectively, both orally and in writing.
- Ability to develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, city officials, and the public.
- May require ability to take dictation and transcribe notes.
- May require ability to acquire and maintain a valid Kansas driver\'s license.
- An employee shall not pose a direct threat to the health or safety of other individuals in the workplace.
Required Experience and Training
Required Experience and Training:
Completion of high school diploma
3 years of experience performing clerical duties which must include experience in typing, filing, answering the telephone and composition of routine correspondence.
Ability to type at least 55 words per minute.
A valid drivers license.
Intermediate level of proficiency with Microsoft Office.
