Newman University Executive Assistant to the President and Secretary of the Corporation in Wichita, Kansas

Occupational Summary:

Provide direct executive administrative support and assistance to the President of Newman University and serve as Corporate Secretary of Newman University, Inc.

This position must uphold a strict level of confidentiality.

 

Position is full time (40hrs) and works 12 months per year. Paid time off and benefits starting after first 30 days. Approximately 20 days off with pay for observed holidays/breaks with an additional 2 weeks of vacation time accrued per year. Tuition waiver for employee, spouse and eligible dependents after one year of employment.

This position is responsible for cultivating and maintaining the institution's Catholic identity and its mission to empower graduates to transform society. Work Performed:

  • Perform executive secretarial duties - initiate, schedule, and coordinate appointments and meetings; and handling of correspondence, including transcribing President’s letters, reports, memos, and composing of routine correspondence from the President’s Office.

  • Serve as Secretary of the Corporation in accordance with the University’s Bylaws including maintenance of all books, records, lists, and information as required by the Corporation and the State, and create and execute formal resolutions for the Corporation as necessary.

  • Serve as the point of contact between the Adorers of the Blood of Christ (ASC), Board of Trustees, University executives, external partners, and members of the internal University community.

  • Generate agendas and materials, attend meetings, and record and prepare minutes for Board of Trustees Committee (e.g., Executive Committee, Trustees & Bylaws Committee) and Board meetings, President’s Cabinet meetings, Community Meetings, and other meetings as requested by the President.

  • Manage all logistics for President’s meetings, Board meetings, and Board Committee meetings.

  • Assist the Chair and Vice-Chair of the Board of Trustees (e.g., new Board member orientation activities) as required.

  • Monitor budgets for the President’s Office and the Board of Trustees. Prepare purchase requisitions, expense reports, and budget transfers as necessary.

  • Perform routine receptionist and secretarial duties – opening/sorting mail; maintaining office supply inventory; organizing and maintaining presidential and Board of Trustee files, including correspondence and corporate documents.

  • Coordinate and arrange participation for the Board of Trustees, dignitaries, and guests in Baccalaureate Mass and Commencement, including ordering academic apparel, drafting the script for Commencement, and handling necessary correspondence to Board members, dignitaries, and guests.

  • Network with the Office of University Advancement in fundraising events, campaigns, and alumni-related activities.

  • Participate as a member of the Commencement Committee.

  • Participate on University Committees as necessary, including serving as chair (e.g., Search Committee for the VPFA, Prayer Breakfast/All Faiths Committee).

  • Provide assistance as necessary to members of the President’s Cabinet to complete projects and special assignments as requested by the President.

  • Supervise operations necessary to support the President’s Office.

  • Supervise student worker(s) and broad work group interactions.

  • Keep informed about university-wide activities and policies in order to respond to internal and external questions with authority. 

  • Update position knowledge by participating in educational and/or professional development opportunities as available; reading and reviewing professional publications; and maintaining contact with professional list serves, professional organizations, and personal networks.

  • Other duties and projects as assigned.

     

     

    Required Qualifications/Education/Experience/Skills/Training:

  • Bachelor’s degree preferred.

  • College-level coursework in secretarial and administrative office skills or equivalent education, or three to five years of experience working with a company CEO and Board of Directors.

  • Independent thinker who is innovative and motivated.

  • Strong communication skills, both verbal and written.

  • Strong interpersonal skills-contacts include Board members, external partners of the University, ASC community, faculty, administration, staff, and students.

  • Takes initiative and has the ability to respond to inquiries and needs as they arise.

  • Computer experience—particularly in Microsoft Office; willing to learn new systems.

  • Organizational skills; ability to prioritize, adjust and meet deadlines.

  • Ability to maintain high level of confidentiality in a discreet manner.

  • Knowledge of higher education constituencies.

  • Must be legally authorized to work in the United States.
