Newman University Finance and Administration Coordinator in Wichita, Kansas
Occupational Summary:
The Finance and Administration Coordinator supports the Finance and Administration Division by managing a variety of administrative and operational tasks to ensure efficient and effective office operations. This position plays a key role in fostering collaboration among divisional staff and serves as a liaison between the Finance Office and other university departments. The position exercises independent judgment, coordinates administrative services, and provides occasional support for the Board of Trustees Committees and the broader campus community .

Work Performed:
Administrative Support for VPFA and Divisional Units
Serve as a liaison for units under VPFA supervision, fostering a professional and positive work environment.
Represent the VPFA in meetings as need; record and distribute minutes.
Manage the VPFA’s calendar, prioritize scheduling, and prepare materials for meetings.
Operational Support
Provide general office support for Finance, Human Resources, IT, and Facilities under the direction of the respective department heads.
Maintain credit cards and receipts for VPFA and Controller.
Assist with third-party invoicing and process university check requests.
Route incoming mail to the appropriate staff.
Coordinate student workers in support of the Finance, HR, IT, and Facilities office. Board of
Trustees Committee Support
Act as secretary for the Finance, Audit, Operations, and IT board committees.
Coordinate committee meetings, including virtual sessions, and prepare necessary materials.
General Office Management
Serve as the initial point of contact for the Finance Office, managing calls and walk-in inquiries professionally.
Maintain Finance Office email inbox.
Maintain office supplies and coordinate equipment maintenance.
Perform additional clerical duties, including record keeping and document management.
General
Complete all University-required trainings, including FERPA and Title IX.
Perform all other job-related duties as assigned.
Requirements:
Associate’s degree required; Bachelor’s degree preferred. Equivalent related experience may be considered in lieu of a degree.
Minimum 3 years of experience in an administrative role, preferably supporting senior management, A background in accounting or financial data is preferred.
Strong interpersonal skills and ability to build effective relationships with diverse stakeholders.
Proactive problem-solving abilities and confidence in decision-making.
Exceptional organizational skills, including the ability to manage multiple tasks and meet deadlines.
High proficiency in MS Office (Outlook, Teams, Excel, Word, PowerPoint) and internet research.
Excellent grammar, spelling, proofreading, and attention to detail.
Ability to handle confidential information with discretion.
Flexibility to adapt to changing work priorities and occasional evening/weekend work.
Must be legally authorized to work in the United States.
Physical Requirements:
Prolonged periods of sitting and working on a computer.
Ability to lift up to 15 pounds as needed.
