Essential Functions – Library Assistant:
+ Perform original and copy cataloging of a variety of formats of materials using current cataloging rules and appropriate techniques.
+ Supervise the organization of the current and back issue periodical collections.
+ Manage ordering, cataloging, processing, and distribution of new materials.
+ Interact with vendors regarding efficient materials acquisition and data gathering.
+ Manage the item database of the library’s ILS software to insure accuracy, order, authoritativeness, and accessibility.
+ Collaborate with Grants Office to apply for appropriate grants for materials and/or technology.
+ Participate in staffing the circulation desk, the provision of reference services, and in library instruction programs.
+ Gather, analyze, and distribute appropriate statistics and data using a variety of technologies and methods.
+ Arrive on time for work, attend work regularly, and successfully complete the responsibilities of the position.
+ Comply with HutchCC policies, procedures, and practices.
+ Serve actively on HutchCC committees.
Essential Functions – Faculty Secretary:
+ Provide clerical support regarding day-to-day operations of office for department chair and faculty (e.g., mail, phone answering/transfer, scheduling appointments, word processing, scans/faxing, directing inquiries, data entry, copying, maintaining electronic files, travel arrangements including airline and hotel reservations, cars, and vans, etc.) and preparing class materials including printing, preparing class packets, and processing scantron sheets.
+ Provide a friendly customer service-oriented atmosphere and support for department chairs, faculty, students, staff, guests, vendors, stakeholders and/or any visitors to HutchCC.
+ Communicate professionally and accurately and serve as a knowledge resource for HutchCC information, directing to the correct resource or staff member.
+ Plan and fulfill meeting/event needs, including enrollment activities and recruiting events, coordinating room reservations when appropriate.
+ Attend meetings as assigned, recording minutes as required; notify appropriate persons of meetings, distribute agendas, prepare/distribute minutes.
+ Manage logistical and inventory supplies needs; order and see to the maintenance of equipment.
+ Prepare and follow-up on purchase orders, receipts, forms, and documentation of expenses, including timely payments of invoices.
+ Coordinate schedule and assist with supervision of possible student workers and/or dept. staff; delegate responsibilities as appropriate.
