Essential Functions:

  • Responsible for answering phones as the initial company contact, directs calls to appropriate company resources, takes messages, writes service call slips, processes payments, or schedules services, as needed.
  • Compiles plumbers invoices and processes according to Company protocol.
  • Collects plumbers time cards, compares with customer invoices; records time worked on time sheets for payroll.
  • Organizes accounts payable and accounts receivable for processing by accounting firm.
  • Receives, processes as needed, and distributes incoming mail daily; prepares outgoing mail.
  • Coordinates backflow devices and tankless water heaters service calls; tracks and logs results.
  • Ensures plumbing licenses, business license, and contractor bond are up to date and renewed in a timely manner.
  • Performs other work-related duties as assigned.

  • Promptly and professionally answer phone calls using excellent customer service skills.

  • Foster strong working relationships with co-workers, customers, and vendors showing respect and composure.

  • Produce high quality work and complete tasks on time and accurately, working in a fast-paced environment.

  • Meet attendance requirements by being on time and present according to established work schedules, typically 8 a.m. to 4:30 p.m.

  • Adhere to all David Lies Plumbing, Inc. policies and procedures

    Knowledge, Skills and Abilities:

    • Clerical: Possesses a thorough knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, and other office procedures.
    • Customer Service: Demonstrates a working knowledge of providing customer service, building strong customer relationships and customer satisfaction.
    • English Language: Exhibits a working knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

    • Organization: Systematically manages ones time, maintains an orderly workspace, organizes resources, and prioritizes projects for maximum productivity.

    Education and Experience:

    High School Diploma or equivalent; previous office experience required; 1-2 years experience in Microsoft Office 365, required, 1-2 years extensive experience in QuickBooks, required.

    Tools and Technology:

    Personal computer; QuickBooks; General office equipment (e.g., telephone, copier, scanner); Microsoft Office 365 Suite; Internet access.

    Working Conditions:

    Non-hazardous, indoor controlled environment, typical for an office. May occasionally be required to work some evenings and weekends.

    • Hearing: Able t hear average or normal conversations and receive general and ordinary information.
    • Visual Abilities: Average visual acuity essential to prepare or inspect documents or products, or operate machinery.
    • Repetitive Motion: Substantial and regular movements or motion required using the wrists, hands, and fingers.
    • Physical Strength: Sedentary Work; Sitting most of the time. Exerts up to 10 lbs. of force occasionally.
    • Finger Dexterity: To individually, or as a group, flex and extend fingers for fine and precise manipulation of small items or to activate a keyboard or keyboard mouse.
    • Sitting Frequently. Resting of the body weight in a seated position while engaging in a single activity.
