The degree of responsibility and the number of duties will depend upon the size of the residential community and the supervising Residential Manager. While the following information should be considered a comprehensive description of this position, it should also be noted that some responsibilities and duties may not be specifically addressed. The employee must adhere to all policies and procedures contained in the manuals issued by Weigand-Omega Management, Inc. and/or otherwise communicated verbally or in writing.Duties and ResponsibilitiesLeasingWelcomes the prospective residents to the community, qualifies, determines their needs and preferences, and professionally presents the community and specific apartments while providing features and benefits.Answers incoming phone calls and is professional on the telephone, using procedures outlined in the Operations Manual or otherwise communicated.Completes guest cards and/or traffic sheets for all prospects that call or visit the property, uses the information to set appointments and ensures that follow-ups are completed.Abides by all Weigand-Omega leasing policies and Fair Housing guidelines.Processes new lease applications.Inspects apartments prior to move-in to ensure market-ready status.Follows up with prospect within 2-3 days.Refers prospects to other Weigand-Omega communities if their needs can't be met.Will be "shopped" periodically by telephone and/or in person by unidentified shoppers that will report their experience to the property supervisor for the purpose of additional training and/or counseling.Resident RetentionAssists in the implementation of a lease renewal program.Sees each resident interaction (i.e. performing service requests, paying rent, etc.) as an opportunity to impress the resident and increase resident retention.May assist in coordinating the move-in process and contacting new residents to see they are comfortable and happy.Helps ensure the majority of maintenance/service requests are completed within 24-48 hours and conducts service follow-ups to verify the work was completed to the residents' satisfaction.Promotes resident and public good will and does everything reasonable to accommodate residents and to retain a good name and reputation for the apartment community and management company.May contact residents that give notice to vacate and make every attempt to encourage them to stay and remedy any problems they might have.Participates in the coordination of community sponsored events.Starts the renewal process 60 days out from the residents' lease expiration date.Administration and OperationsMaintains accurate resident records and makes daily updates.Maintains courteous communication with residents, prospects, co-workers, vendors and the public.Correctly completes all paperwork in accordance with company guidelines.May assist in the coordination and scheduling of make-ready units. Assists in keeping the office, clubroom, models and market-ready apartments clean, organized, and in excellent showable condition at all times.Safeguards the keys and maintains a key log for all keys that are checked out.May order supplies to ensure items are available as needed and an adequate supply of commonly used items are kept in stock.Types and issues appropriate notices and correspondence.Maintains required office hours and may be required to be on-call and available for emergen cies.Attends training seminars and managers meetings when scheduled.Assists the Residential Manager in all areas as requested.Maintains strict confidentiality of all Weigand-Omega company, resident, and property information and reports any breach of integrity which occurs at the property to the supervisor immediately.Reporting/Record KeepingMaintains necessary records of all resident files, ledger cards, maintenance requests, and transactions of the property.May assist with coding invoices for payment.May assist with processing evictions.Documents incidents, accidents and emergency situations.Rent CollectionAssists in collecting rents, late and NSF charges, and other applicable charges when necessary.Ensures daily bank deposits are made for all money that has been collected.Serves late rent notices and 3-day pay or quit notices.MarketingIs knowledgeable and maintains awareness about the neighborhood, local market, and any trends.Is familiar with the property's competition and completes market surveys by shopping them once per month or as market occupancies dictate.Regularly walks the market ready vacant units to ensure they are clean and presentable at all times.Regularly reviews all signage, flags, banners, and lighting around signage; and, if not in good condition, reports this to Residential Manager.Property InspectionsInspects the pr
