Provide direct administrative support and assistance to the Vice President of Academic Affairs at Newman University. This position requires a discreet and trustworthy individual at all times.
Assist with the day-to-day functions and program enhancements, when applicable.
Facilitate faculty contracts accurately and timely in electronic format.
Ensure the credentialing of all faculty is current and accurate.
Create and process correspondence in a timely fashion.
Schedule meetings and maintain minutes of meetings in consultation with the VPAA and appropriate academic leadership.
Process invoices for Academic Affairs and maintain department office supplies.
Advise and assist in event planning and special projects as needed.
Maintain calendar for VPAA and issue daily reminders of activities.
Training and mentoring of new administrative assistants.
Keep current on new technologies and their uses.
Maintain confidentiality by exercising discretion in communicating information to faculty, staff and students and in handling administrative records and files.
Prioritize the most important matters affecting the VPAA’s schedule and list of activities.
Complete University-required trainings including Title IX and FERPA.
Contribute to the overall success of Academic Affairs by performing all other duties as assigned and appropriate for this position.
Knowledge of computerized information systems (Excel, Microsoft Office, etc.)
5+ years of administrative office experience
Excellent skills in written and verbal communication.
Strong organizational, interpersonal, time management, proofreading, editing, and multi-tasking skills.
