Summary/Objective

The Payroll/Benefits Coordinator performs a wide range of payroll and benefits related duties. Work requires imitative and independent judgment in the application of prescribed polices, procedures, and methods. This position will build relationships to aid in superior customer service and to take initiative in growing the companys reputation as a premier employer within the job-seeker community.

Essential Function

  • Responsible for all aspects of payroll processing
  • Data entry, processing, and distribution of weekly payroll and/or semi-monthly payroll
  • Balance payroll and withholding accounts, prepare required governmental reports, retirements, IRS, W-2s etc.
  • Updates and maintains employee information in payroll system and maintains payroll records
  • Oversees employee accruals and reports accrual balances, as needed
  • Provides accurate employee verification to all external sources, i.e., loan verification and final salary affidavits
  • Ensures that all federal, state, and local taxing liabilities and reporting are in compliance
  • Performs year end balancing; produces and distributes W-2s ensuring their financial integrity
  • Prepares and generates reports and documentation such as weekly, monthly, quarterly and year end reports, including reports for State and Federal agencies, auditors, consultants, departmental records and payroll processing forms
  • Ensures the administrative processing of new hires, temporary workers, transfers, promotions, and terminations is accurate and timely, following school policies and procedures
  • Maintains and implements table driven values and parameters including all earning codes, deductions, and accumulators in computerized payroll system; ensures proper tax withholding, tax reporting, and general ledger accounting
  • Reports all newly hired employees and employees separating from employment to all required entities
  • Manages the timely and accurate processing and distribution of weekly payroll for all employees consistent with federal and state wage and hour laws
  • Administer and oversees all employee/retiree benefit programs to include but not limited to health, dental, life, retirement plans, flexible spending disability, and COBRA
  • Communicates information and answers questions and concerns from employees and retirees regarding coverage and/or benefit plans. Provides appropriate forms and paperwork upon request. Processes enrolments, changes, and claims. Investigates inquiries from employees regarding benefit-related matters and solves problems
  • Responsible for the payment of premiums and administrative fees to benefit vendors
  • Administers and oversees benefit changes and calculations from employees and retirees. Ensures that payroll and retirement system is updated accordingly
  • Maintains accurate records, creates and maintains complex reports and statistics concerning benefits activates

  • Provides technical leadership and expertise on all benefit-related issues
  • Complies with HIAA regulations
  • Conducts audits for all benefits to ensure that employees are paying the correct amount and verifies individuals and families are in the appropriate plans
  • Keeps up to date with changing federal and state laws affecting insurance subscribers
  • Organizes, manages and coordinates the preparation and flow of information as directed by the Director of Human Resources
  • Provides customer service by answering questions person or by telephone, or in writing; provides information relative to departmental procedures
  • Investigates inquiries regarding payroll related matters and solves problems; refers individuals to appropriate source as required
  • Attends classes and other offered training to maintain current knowledge of required equipment and procedures
  • All other duties as assigned
